Development Database Assistant

Roundabout Theatre Company, the nation’s largest not-for-profit theatre company, seeks an energetic and driven data specialist to join the company’s Development team as a Development Database Assistant. This position is multi-faceted, fast-paced, and critical to Development department operations, requiring flexibility and impeccable attention to detail to ensure a flawless database. The position reports to the Manager of Donor Information Systems and is part of a team that raises over $16 million each year.

The Development Database Assistant will:
  • Enter, track, and report on Development gifts in the Tessitura database in a timely manner
  • Create and maintain department gift form template to ensure smooth gift entry process
  • Ensure quality control of Tessitura database, including adjustment requests, new accounts, duplicate records, and style format of data
  • Submit and monitor corporate matching gift requests for all donors
  • Manage weekly Acknowledgement letter process for individual giving from start to finish
  • Generate daily reports of web and call center gifts “on-account” for staff review to ensure proper coding
  • Manage monthly pledge reminder process from start to finish, including routing reports to department and customizing letters
  • Monitor electronic transfers of gifts via external stock broker or charitable organizations
  • Prepare daily batch and posting reports for Finance department
  • Train Apprentices and support staff in gift processing and reporting for heavy influx periods, such as fiscal year-end and the annual Gala
  • Generate lists, extractions, and reports for Development staff as requested
  • Assist Manager of Donor Information Systems with a variety of projects such as streamlining procedures, creating custom reports, etc.
Bachelor’s degree and at least 1-3 years’ experience with development database operations at a not-for-profit organization is required. Experience with Tessitura is a major plus. Excellent administrative, communication, and computer skills (including MS Office) are also required.
