Education Assistant

Roundabout Theatre Company, one of the nation’s largest not-for-profit theatres, seeks an energetic, personable individual to join the company as the Education Assistant.
 
This person will provide general administrative support for all educational programming and maintain administrative protocols and procedures as they relate to financial recordkeeping, reception and office management.

RESPONSIBILITIES:

  • Provide general administrative support for all educational programs
  • Maintain current protocols and procedures as they relate to invoicing, payroll, accounts payable/receivable and record keeping for the education department
  • Create, distribute, and track education department invoices, purchase orders, and accounts payable/receivable for the education department
  • Maintain petty cash for the education department
  • Collect and process Teaching Artist payroll on a weekly basis
  • Provide a bi-weekly report to the Associate Education Director on all financial matters
  • Maintain filing systems
  • Serve as Human Resource liaison for the education department
  • Correspond with Teaching Artists and track attendance at meetings
  • Maintain contact information for education constituents
  • Maintain Education staff and Teaching Artist listings on the Roundabout website
  • Receive, organize, and track Teaching Artist applications
  • Maintain all office equipment, supplies, and education department public spaces
  • Maintain office calendar electronically, including scheduling requests for Director of Education
  • Schedule meetings, take and distribute minutes
  • Participate and contribute to weekly staff meetings and staff professional development events
  • Assist Education Director and Associate Education Director with correspondence with Education Committee
  • Provide education event support including catering scheduling and event set-up/break-down
  • Other duties as assigned
QUALIFICATIONS:

Bachelor's degree or equivalent experience plus 1-2 years of fulltime administrative experience (experience in professional theatre and/or education is a plus).

The ideal candidate will be comfortable interacting with students, educators, parents, artists, and arts education professionals, as well as working in collaborative settings.

Strong organization and communication skills are necessary as well as attention to detail and the ability to prioritize multiple projects.

Expert knowledge of Microsoft Word and Excel (including Word, Publisher, Excel and PowerPoint) is required. Knowledge of InDesign, Tessitura, Photoshop, and/or iMovie is a plus.

Flexibility to work occasional evening and weekend hours preferred.

PHYSICAL DEMANDS

Able to lift 30 lbs with or without reasonable accommodation.
