Special Events and Corporate Relations Officer

Roundabout Theatre Company, one of the nation’s largest not-for-profit theatres, seeks an energetic, personable individual to join the company’s Development Team as The Special Events and Corporate Relations Officer. This position reports to the Associate Director of Special Events and aides both the Associate Director of Special Events and the Director of Special Events and Corporate Relations in all aspects of donor-focused events. These events range from intimate dinners to large fundraising Galas and occur throughout the year.

  • Coordinate administrative needs for the Special Events team, including tracking all incoming and outgoing event related funds and expenses and maintaining the Special Events calendar 

  • Liaise with vendors, donors, Development staff and Theatre staff to coordinate event needs 

  • Manage logistics for Donor Playreadings, Backstage Series Event, and Corporate Week including 
creating event timelines, managing guest list and seating 

  • Work with Graphics Designer to create event invitations and other printed materials 

  • Coordinate all printed material needs for the department, including working with outside vendors on step and repeats, invitation printing, and posters 

  • Manage RSVPs and seating for special events, including Opening Nights, Donor Playreadings, Backstage Series events, and the Gala 

  • Create and distribute donor packets and theatre timelines for Patron Nights 

  • Assist Associate Director of Special Events on select Board-hosted events and Patron Events 

  • Solicit and oversee organization of raffle items for Casino Night, including fulfillment 

  • Coordinate with Marketing department to update the Roundabout website for all special events needs and manage e-blasts invitations 

  • Coordinate and oversee Special Events Apprentice responsibilities 

  • Orchestrate all aspects of the Online Auction for the Spring Gala and overseeing Auction Committee which includes members of the Board and Leadership Council; Assist with Gala Live Auction management and fulfillment 

  • Directly responsible for raising over $200,000 in gross revenue from the Gala Online Auction 

  • Assist events team as needed with Opening Nights, Patron Nights, Board-hosted events, Benefit 
Readings, the Spring Gala, and Casino Night events and other elevated events 

  • Manage in-kind alcohol deliveries and inventory and managing gift entry for in-kind and corporate gifts 

  • Draft and send acknowledgement and renewal letters for Corporate gifts 

  • Conduct corporate prospect research 

  • General administrative support for Special Events and Corporate Relations teams as needed 


Bachelor’s degree in Communications, Marketing or a related field required, plus a minimum of two (2) years working in development, event planning or other comparable work at a not-for-profit institution. Graduate degree in a related field is a plus. 

The ideal candidate will have exceptional organizational skills and attention to detail, diplomacy with guests and donors, ability to work and maintain poise under pressure, and excellent writing skills. Good word processing and budgeting skills needed. Knowledge of Tessitura or another equivalent fundraising database required. Experience with Photoshop and InDesign is a plus. The position requires moderate lifting.
